Efficiency and Accuracy of Automated Warranty Processing Management

Finding the right automated warranty processing management can be thrilling, but it can also be very overwhelming.

While a business needs warranty management software, an efficient and accurate one is best to combat the difficult warranty claim procedures that a business comes with.

To lessen operational loss and fraudulent claims, a dependable vendor who provides excellent service and support is what you should also consider in making the decision.

A quick Google search would reveal hundreds of options to choose from. But, how can you be sure if it's the best one to address your needs?

We are here to help you choose an appropriate system for you by enumerating essential features to look out for in your selection process.

An Essential Key for Your Daily Business Operations

A good warranty management software allows a business access to complete information about warranty claims. It covers product parts and their quality, damage and return expenses, and supplier recovery claims (SRC).

Since it's an essential key to ensure that daily operations run seamlessly, it is important to consider these important functionalities:

Accuracy and Efficiency

Accurate and efficient software delivers increased profitability. It reduces the cost brought about by a warranty claims procedure, the exertion of manual efforts as well as the likelihood of errors. By automatically assigning serial numbers to each configured item, it creates a Warranty Record, guaranteeing fewer errors, less effort, and non-duplication of item warranty information.

Convenient and User-friendly

While software, which allows you to input an item warranty and its updates manually in the system is convenient, undoubtedly, there is a large room for human error. However, a system of automatic warranty generation, which pops up for each serialized item once a customer invoice has been posted is better as this allows the user to update the item's warranty records in a warranty information form in an instant and at ease.

Easy to Work with and Innovative

Although a warranty claim feature is not a cutting-edge technology in warranty management software, it should be customizable.

With a user-friendly format, a warranty claim should allow customizability to track warranty items and parts through the item's assigned serial numbers. In case of a return merchandise authorization (RMA), the parts that were returned or exchanged in case of defect are put back in stock after thorough inspection allowing effortless inventory of stocks.

It Ensures Data Accuracy and Data Storage

Through a customized Warranty Information Form, centralized warranty information is created which serves to retain all the information related to an item's warranty information for smooth inspection, inventory, and accounting.

For best business practices, we created a sophisticated warranty system that allows our Epicor clients to generate a serial number for the configured item, where the Serial Number Record links itself to its related Warranty Record via a custom field. After linking, a Warranty Claim Form pops up enabling the user to create a new claim. If a serial number is unable to find the Warranty Record associated with the configured item, the system automatically notifies the user of a Configured Serial Number without a Warranty Record.

Tracking is made swiftly by this simple mechanism:

  • The warranty records are primarily attached to the Serial Number Records upon their assignment to a unit.
  • When a job to manufacture the unit is generated, the serial number and warranty record are also made.
  • From there, prompt updates of the unit status in the system are made.
  • When the unit goes down the assembly line and its assigned sub-serial numbers are identified, the serial numbers will automatically be added to the Warranty Record.
  • Upon completion of the unit, its automatic mechanism updates the Manufacturing Date.
  • Upon unit shipment, its automatic mechanism also updates the Customer/Distributor Information.

It streamlines efficiency and customer satisfaction

In cases where a customer would send a warranty claim, it is directly entered into the system via the custom warranty claim form entry. After completing the form, the claim is saved in the system which notifies the user (management) to review the claim and make a decision to either move forward or reject the claim. When the user approves a claim, the RMA box must be checked to generate an RMA number to be sent to the customer for the return of the defective unit. A Credit Memo with the amount specified in the Warranty Claim Form will be created which instantly triggers an update in the records stored in the Warranty Information Form.

It increases business revenue

The appropriate Automated Warranty Management System shows the edge of the business over other businesses in the same field by showcasing its prowess in claims management and handling. Decreasing turnaround time in responding and concluding these claims, builds not only customer satisfaction but also customer loyalty. The business is more likely to gain an increase in revenue it was aiming for.

For these reasons, it is imperative to be mindful of these essential features in choosing your automated warranty processing management software.
